Automations

With automations, DentallManager takes recurring work off your hands. Think of a reminder when a contract is about to expire, or a message as soon as a leave request comes in. You set up a workflow once. After that, it runs automatically.

Two types of workflows

Date/time-based workflows. These look at date fields and take action at the right moment. Examples:

  • birthdays and work anniversaries of employees;
  • contracts that are about to expire;
  • documents that expire, such as a diploma or certificate;
  • deadlines during the onboarding of a new employee.

Event-based workflows. These respond as soon as something is created or updated in DentallManager. Examples:

  • a new or changed leave request;
  • an exam that is assigned;
  • a schedule change;
  • a new document or a new announcement.

Structure: templates, actions, and workflows

You build automations in three layers. You find them under Settings → Customization & Automation.

  1. Automation - Templates. The content of the message or notification.
  2. Automations - Actions. What needs to happen and for whom. For example: send a notification to the practice manager and the employee.
  3. Automations - Workflows. The link between trigger, action, and template. This is the automation you switch on.

Turning workflows on and off

Every workflow has its own on/off status. This lets you calmly test a new automation, or pause one without deleting anything.

DentallManager comes with ready-made workflows. Think of a reminder for an expiring contract, a notification for an expired document, and steps for onboarding new employees.
