Scheduling & Leave — overview
With the Scheduling & Leave module you schedule your team and stay in control of leave, absence and overtime. Everyone sees their own schedule directly in the app: when you work, which treatment room you're in and when you have a break.
What does this module cover?
Schedule. Your schedule is ready per day, with location or workstation (for example Behandelkamer 1), working hours and an hourly breakdown of the day. Switch between the My Schedule, Fixed workdays, Team schedule and Per Location views, and between Today, Daily, Weekly and Monthly ranges. A colour legend marks Special events, Compensation, Leaves and Sickleave; unfilled slots show as NOT SCHEDULED, and View Checklists opens the checklist(s) for a workstation straight away. Per employee you set whether scheduling on weekends or evenings is allowed. See Scheduling for the full walkthrough.
Building schedules from fixed working hours. You record working hours, workstation and repetition once. When creating a schedule you use Load from fixed schedule and Repeat, so recurring shifts do not have to be entered again every week. (Magic Planner is the brand name our brochure uses for this; in the application the screen is called Create new schedule.) Before you can build a schedule, your workstations and positions need to be set up — see the Blueprints step in Setting up your practice.
Leave. Employees request leave in a few clicks. You approve or reject requests. Leave balances are tracked automatically, including hours carried over from a previous period.
Absence. You register sick leave directly, so the day's staffing is immediately accurate.
Overtime. Overtime is tracked per employee. Employees can request compensation or take leave from their overtime balance.
How it works in practice
- An employee submits a request via Quick Actions on the dashboard: leave, sick leave, overtime or overtime compensation.
- The practice manager receives a Smart Alert and approves or rejects the request.
- Balances and the schedule are updated automatically. In the Time Tracker you see the start date, end date, hours, status and reason per request.
