Prepared for an Inspection or Audit
During an inspection or quality audit, you want to be able to quickly show how your practice operates. Everything you track in DentallManager is already in one place. This guide shows you where to find what.
Where do you find what?
| Topic | Where in DentallManager |
|---|---|
| Protocols and work instructions | Cloud storage & Protocols — including separate folders such as the KEW file and safety data sheets |
| Incidents (VIM) | Incident Reports (VIM) — all reports with date, reporter and processed status |
| Daily checks | Daily evaluation and the history of your checklists — covering opening and closing of treatment rooms and the front desk |
| Equipment maintenance | Equipment — per device the status and next maintenance date, plus the full ticket history |
| Team competency | Exams — results and status — and the Learning Environment — modules completed |
| Personnel files | Staff Management — including registrations, diplomas and vaccinations per employee |
| Reports | Absence and hours reports via Settings |
How to prepare
- Go through the table above and check, per topic, whether everything is up to date.
- Resolve any outstanding points: open tickets, expired checklists and unprocessed incident reports stand out first.
- Export what you want to hand over on paper or digitally — you can export the schedule to Excel, for example.
- Appoint one colleague to navigate DentallManager during the visit. Everything is in one place, so there's no need to search.
DentallManager supports you in organising quality and compliance, but this is not legal advice. For the current requirements, consult the official sources (including KNMT, IGJ and the Dutch Data Protection Authority) or an adviser.
