Organizing Maintenance
Well-maintained equipment prevents downtime and surprises. Here's how you set up maintenance for your practice in DentallManager.
Step 1: register your equipment
Add each device to the overview in Equipment Management. For each device you record: name, category, model, serial number, status and the next maintenance date. The overview immediately shows the status of all your equipment: In Use, Under Maintenance/Repair, Faulty/Defective or Not In Use.
Step 2: plan the maintenance
Set the next maintenance date for each device. DentallManager automatically sends a reminder as that date approaches. This also lets you plan annual maintenance ahead, for example during quiet periods.
Step 3: handle reports with tickets
Everyone on the team reports a malfunction via Quick Actions. There are four ticket types: Report malfunction, maintenance, repair request and other. You can give a ticket a priority, but this is not required. Follow the status until the malfunction is resolved.
The ticket KPIs keep track: open tickets, tickets in progress, resolved today and the average resolution time. Filter by workplace to see, for example, only Treatment Room 3.
X-ray equipment and CBCT
Additional requirements from the Nuclear Energy Act (Kernenergiewet) apply to X-ray equipment. The ANVS supervises this together with other regulators and inspects on a risk basis — there is no fixed cadence. A practice must have at least one employee trained as a toezichthoudend medewerker stralingsbescherming (TMS); in addition, a practice may hire a stralingsbeschermingsdeskundige (SBD). Schedule the checks and maintenance that apply to your equipment as maintenance in DentallManager, so you automatically get a reminder. Store the related documents in cloud storage, for example in a KEW Dossier folder.
