Frequently asked questions about Staff Management

Who can see salary fields in an employment file?

Salary fields are not visible to everyone by default. Access is managed through roles and Access rights. Only employees with the right role, for example Payroll Administration, see these fields.

Can an employee view their own employment file?

Yes. Via My employment file you view your own data. Because this is sensitive information, DentallManager first asks you to re-enter your password.

How quickly can I create a contract?

In Easy Contracts you open the wizard with Add New. Step 1 asks Who is this regarding?, where you pick one of three cards:

  • Existing team member — select someone who is already in the system.
  • New team member — add a new team member and create a contract right away.
  • Potential team member — create a draft contract for a potential employee.

You choose the template later in the wizard. For an employee already in your personnel records, name, date of birth, address, function and weekly hours come from the file. What you fill in yourself is two dates, the hourly wage and one choice field, plus the two signatures. Per contract the overview shows under Regarding what kind of document it is and whether a signature is still missing.

Which tabs does an employment file have?

Along the top of the file you'll find, at a minimum, an information tab (split into basic details, work details and terms of employment), a documents tab, a tab with the reports of your meetings and reviews, and a goals tab. Depending on your role and the modules your practice uses, more tabs may be visible. See Features in Staff Management.

Where do I upload a document, for example a diploma?

Under the documents tab of the employment file. That is the place for personal papers; Cloud storage & Protocols is meant for the practice's own documents and protocols. On your dashboard, Missing Documents shows what your practice is still expecting from you.

Whether you may add documents to your own file only, or to other people's files as well, depends on your permissions. See Roles and permissions.

Where do I store a copy of my ID?

As a document in your own employment file, under the documents tab — the same place as your diplomas and certificates. The employment file sits behind an extra password check and access to it is arranged per role, so sensitive papers are better kept there than in a shared folder. Your practice decides which documents are required; what is still missing shows on your dashboard under Missing Documents.

How do I request leave?

Click Quick Action at the top right and choose Leaves — New request. Pick a full or partial day, fill in the start date and, if applicable, the end date, enter the number of days or hours and choose a reason. Submitting the request sends your practice manager a Smart Alert, and they approve or reject it. The full walkthrough, including your balances and following the status, is at Leave, absence and overtime.

Who can add a new employee?

The practice manager (or another role with the right permissions) adds new employees, via Settings → Organization → Users.

Where do I manage the learning modules?

Via Settings → Module Settings → Education you manage your practice's learning environment. Outstanding modules appear on the dashboard until an employee completes them.

Where do I track the progress of Goals and reviews?

Via the Goals and Team feedback dashboard widgets you see outstanding goals, reviews and feedback requests at a glance.

What happens to a file when someone leaves employment?

Offboarding follows a step-by-step process, just like onboarding. This keeps documents and access properly handled when an employee leaves.
