Common tasks in Staff Management

This page shows you step by step how to carry out the most common tasks in Staff Management.

Adding a new employee

  1. Go to Settings → Organization → Users.
  2. Add the new employee and fill in the basic fields: Assign Role, Department, Position and Supervisor.
  3. Assign an access role via Access rights, for example Basic user, Admin or a custom role.
  4. The employee gets access and then completes their own employment file (My Employment File) further.

Creating a contract and tracking the signature

  1. Open Easy Contracts. You land on the list screen with the All, Completed and Draft tabs and the Add New and View archive buttons. The list shows the columns Name, Regarding, Contract or Edit/Subcontract, Effective from, Signature Status, Created by and Actions.
  2. Click Add New. The wizard opens with the question Who is this regarding? and three cards:
    • Existing team member — "Select someone who is already in the system"
    • New team member — "Add a new team member and create a contract right away"
    • Potential team member — "Create a draft contract for a potential employee"
  3. Choose the card that applies and work through the wizard. You choose the template later on, not in this first step. If the employee is already in your personnel records, name, date of birth, address, function and weekly hours come from the file; you add two dates, the hourly wage and one choice field, plus the two signatures. For a new or potential team member that file does not exist yet, so you type those details.
  4. Back in the list, the Signature Status column shows per contract whether a signature is still missing. Contracts that are not finished yet sit under Draft; finished ones under Completed.
  5. Use Filter by templates to narrow the list by template and Clear filters to get the full list back. Older contracts are available via View archive.

Updating an employment file

  1. Open the employee's file via Team, or, if it's your own file, via My employment file.
  2. Update the relevant fields, such as contract details, diplomas or vaccinations.
  3. A higher profile completion shows that the file is up to date again.

Assigning a learning module

  1. Go to Settings → Module settings → Education.
  2. Assign the learning module to an individual employee.
  3. The module appears as outstanding on the dashboard, until the employee completes it.

In short: you create a contract in Easy Contracts. You start with the question of who it is about; you choose the template later in the wizard. If the employee is already in your personnel records, their name, date of birth, address, function and weekly hours are already filled in from the file — you add two dates, the hourly wage and one choice field, plus the signatures. For a new employee that file does not exist yet, so you type those details.
