Features in Staff Management

This page is a reference. Per feature you see what it does, where you find it and who uses it.

Employment files

  • What: digital file per employee with more than 60 fields, such as registrations, diplomas, vaccinations, contract and leave.
  • Where: My employment file; managed via Settings → Organization → Users.
  • Who: employees see their own file; the practice manager manages all files.

The tabs in an employment file

A file is divided into tabs. Along the top you will find at least these four:

InformationYour details, split into basic details, work details and terms of employment.
DocumentsEvery document belonging to this file. This is also where you add one.
Meeting reportsThe reports of meetings and reviews.
GoalsPersonal and professional goals, with their progress.

Depending on your role and the modules your practice uses, more tabs may be visible.

Documents in a file

Documents live under the documents tab of the employment file itself. That is the place for personal papers: a diploma, a certificate, proof of vaccination, a copy of your ID.

Three things worth knowing:

  • Permissions decide who may do what. Adding a document to your own file is a different permission from adding one to somebody else's file, and the same goes for deleting. Your practice sets this per role — see Roles and permissions.
  • Your dashboard shows what is still missing. Missing Documents lists the papers your practice still expects from you; View takes you straight there.
  • Don't confuse it with Cloud storage & Protocols. That holds the practice's documents and protocols, for everyone. Personal documents belong in the employment file, which sits behind an extra password check.

Easy Contracts

  • What: create contracts (via Add New) with templates, send them and track the signature status. With View archive and filters per template or employee.
  • Where: Easy Contracts menu; templates via Settings → Customization & Automation → Easy Contracts Templates.
  • Who: practice manager.

Team overview

  • What: list of all colleagues with their position and status.
  • Where: Team page.
  • Who: everyone.

Organizational chart

  • What: the structure of your practice shown visually, built with the Organogram Builder.
  • Where: the organizational chart page; managed via Settings → Organization → Organizational Charts.
  • Who: everyone can view the organizational chart (after a password check); the practice manager manages it.

Onboarding and offboarding

  • What: step-by-step onboarding and offboarding processes, supported by automatic workflows.
  • Where: Settings → Customization & Automation → Automations - Workflows.
  • Who: the practice manager sets it up; new employees go through the steps.

Learning environment

  • What: learning modules and training for your team. Outstanding modules appear on the dashboard.
  • Where: dashboard widget; settings via Settings → Module settings → Education.
  • Who: everyone follows modules; the practice manager manages the settings.

Document Creator

  • What: create your own documents with templates — according to the description in the app, for everything from letters to forms.
  • Where: Document Creator menu; templates via Settings → Customization & Automation → Document creator Templates.
  • Who: everyone.

Profile completion

  • What: a percentage that shows how complete your profile is. Useful for keeping files up to date.
  • Where: your own profile and dashboard.
  • Who: everyone.

Goals

  • What: record and track personal and professional goals.
  • Where: Goals dashboard widget; settings via Settings → Module settings → Goals.
  • Who: everyone; the practice manager manages the settings.

Team feedback and reviews

  • What: track feedback requests and reviews. The dashboard shows outstanding reviews, incomplete reviews and outstanding feedback requests.
  • Where: dashboard widgets; settings via Settings → Module settings → Team feedback.
  • Who: everyone sees their own items; the practice manager manages the settings.
