Frequently Asked Questions — Legislation & Safety

What is VIM?

VIM stands for Veilig Incident Melden (Safe Incident Reporting). With this you report incidents and near-incidents safely within your practice, so you can learn from them.

Does DentallManager automatically report a calamity to the IGJ?

No. DentallManager supports the internal report (VIM). Any calamity report to the IGJ (Dutch Health and Youth Care Inspectorate) is something you arrange yourself; consult the official sources or your adviser for this.

What is a daily evaluation?

A short review of the day, which you fill in at the end of the day. An evaluation starts as Draft, until you complete it.

Why does my checklist show as "Due"?

A checklist has no separate expiry date, but a completion window: when it is set up, the time frame within which it must be signed off is recorded. If that window passes without completion, the list moves to the Due status tab — it does not disappear from the overview and you can still sign it off.

You get a timely Smart Alert for this.

What's in the knowledge base?

The knowledge base contains internal procedures and instructions, including ready-made draft messages for patient correspondence, such as cancellations and reminders.

Who can report an incident?

Anyone on the team can file a VIM report via Add New, regardless of role.

Does DentallManager replace my statutory complaints procedure?

No. DentallManager supports you in safe reporting and documentation. The formal complaints procedure and affiliation with a disputes body under the Wkkgz are something you arrange yourself, or with your own adviser.

Where do I see the status of a report?

For each report you see the status, for example open or processed, so you can track progress.

DentallManager supports you in organising quality and compliance, but this is not legal advice. For the current requirements, consult the official sources (including KNMT, IGJ and the Dutch Data Protection Authority) or an adviser.
