Managing users
As practice manager, you manage all accounts for your team. You add users, assign roles and group employees. Everything happens via Settings.
Adding a user
- Go to Settings → Organization → Users.
- Add the new user.
- Fill in the record fields: Assign Role, Department, Position and Supervisor.
The employee can then log in and complete their own employment file via My employment file.
Assigning access roles
You manage roles via Settings → User access control → Access rights (Setup - Roles). The role model works as follows:
- Base roles: Super Admin, Admin and Basis gebruiker (the default basic-access role) determine the general access level.
- Additional roles: targeted permissions per component, such as Schedules, Checklists or Payroll administration.
- Stackable: a user can have multiple roles at the same time.
- Per location: a role applies to all locations or to specific locations.
- Custom roles: with Add New you create your own new roles.
The full overview is at Roles and permissions.
Groups
Besides departments, you can organise users into groups. You manage these via Settings → Organization → Groups. Useful for structures that cut across departments.
Position is not the same as access role
Someone's position (dentist, dental hygienist, assistant) is a label in the record. The position does not determine what someone is allowed to do in the system. You manage positions via Settings → Positions; access rights via Settings → User access control → Access rights.

So adding a new employee is always done via Settings → Users; after that you assign a role and the employee appears in the team.
